Where Do Scanned Documents Go on iPhone? How to Find Every Scan
You scanned the lease last week. You remember the scanner finding the edges, the little counter going up, tapping Save. Now the landlord wants a copy, and the scan is nowhere: not in Photos, not in Recents, not where you would have put it. It is almost certainly still on the phone. The catch is that an iPhone has several scanners, one each in Notes, Files, and Mail, plus any scanner app, and each one saves in a different place. This guide shows where each kind of scan ends up, the quickest way to find it, what to do if it really seems gone, and how to make the next one impossible to lose.

- Scanned in Notes: the scan lives inside the note. Search Notes for a word printed on the document, or open the attachments browser and look under Scans.
- Scanned in Files: it went to the folder you picked when you tapped Save. Check the Recents tab or search Files.
- Scanned in Mail: it is an attachment on the email you sent. Look in the Sent mailbox.
- Scanned in a scanner app: it stays in that app's document list until you export it.
- Not in Photos: document scans do not go to Photos unless you save them there yourself.

Scans made in Notes
Notes is where most people scan, because it is the scanner Apple has offered the longest. A Notes scan is not a separate file. It is a PDF embedded in a note, which is why it never shows up in Files or Photos.
- Search. In Notes, pull down on the list and type a word that appears on the document, such as the landlord's name or "invoice". Notes can search text inside scanned documents, not just note titles.
- Browse attachments. In a notes list, tap the More button and choose View Attachments. Every attachment across your notes is grouped by type, and scans have their own section.
- Check other accounts. If Notes is set up with iCloud and On My iPhone, or with a mail account, a note can live in any of them. Go back to the Folders view to see them all.
Once you find it, get it out of the note so it is easier to send and to find next time: open the scan, tap the Share button, and choose Save to Files.
Scans made in Files
When you scan from Files (the More button, then Scan Documents), you pick a location before tapping Save. That choice is where the PDF is, and it is easy to forget which one it was.
- Recents at the bottom of Files lists recently created and opened files, scans included.
- Search in Files matches file names. A scan saved with the default name will be called something like "Scanned Document", so search for that if you did not rename it.
- iCloud Drive or On My iPhone: under Browse, both are separate places. A scan saved On My iPhone does not appear on your iPad or Mac.
Scans made in Mail
Mail can scan straight into a message you are writing. The scan is attached to that email and nowhere else. Open the Sent mailbox, find the message, touch and hold the attachment, and choose Save to Files if you need your own copy.
Scans made in Scanner App
A scanner app keeps its documents in its own library, which is the point: capture, text recognition, folders, and search stay in one place.
- Open Scanner App. All Documents lists every scan, newest first, grouped by date, with your folders at the top.
- Use Search at the top to find a document by name.
- Scans you ran Recognize on have a text version next to them, so the words on the page are there to copy.
- To use a scan elsewhere, open it and tap Export to save a PDF, JPG, PNG, or TXT to Files or send it on.

The scan seems gone: what to check
- Recently Deleted in Notes. In the Folders view, open Recently Deleted. Deleted notes, with their scans, stay there for up to 30 days.
- Recently Deleted in Files. Under Browse, Recently Deleted keeps removed files for a limited time. Touch and hold a file and choose Recover.
- A different device. A scan made on the iPad in a note on that iPad only appears on the iPhone if Notes syncs through iCloud on both.
- It was never saved. Tapping Cancel on the scan screen, or leaving without tapping Save in Files, discards the scan. If none of the places above has it, rescan and save right away.
Make the next scan impossible to lose
Three habits solve it for good. Scan in one place, always the same app. Rename the file the moment it is saved, with a date and what it is: "2026-09 Lease signed.pdf" is findable next year, "Scanned Document 7" is not.
